Hothouse is looking for a Resource & Project Manager who finds peace in organization and enjoys keeping everyone moving to the beat of the same drum. You will play a special role on our Production & Creative teams kicking off jobs, assigning teams, and tracking deliverables for multiple projects. You are key to the on-time, on-budget delivery of the projects that comes through our doors. A main focus will be video related projects but that will not be the only work you will get to touch as we are an integrated agency with integrated needs!

Key Responsibilities
- Receive project alerts (Briefs) from Account Management, work collaboratively to ensure the content is sufficient for a creative and production team to do great work.
- Resource, Schedule and manage projects from initial briefing/kick off meeting through completion, including opening jobs and coordinating internal reviews, listening to next steps and advising on any resource issues that may come up along the way
- Manage all project deliverables throughout life of the job, including aspects such as scheduling, estimation, resourcing, tracking and delivery
- Work in partnership with Director of DRM and Creative, Video and Production leads assigning talent to projects and prioritizing work
- Manage the workload of members of the creative and production teams by keeping a pulse on all current and upcoming projects and their next steps and milestones and updating jobs on the job board and status report
- Help identify available resources in the freelance world
- Work with Director of DRM & collaboratively with Head of Production to generate estimates, monitor team hours against budgets and help generate burn reports as needed
- Shepherd consistency in process by documenting, sharing, and advocating for the creative workflow process and usage of our project management system, Advantage for project alerts
- Monitor creative and production team hours against project budgets
- Constantly communicate with creative team members to ensure we are on track with deliverables, making adjustments, negotiating dates to reprioritize, and adding resources for support where needed
- Continually seek ways to add value to the agency by improving operation and process efficiency, especially with regards to how our varied video production jobs work in concert with the creative teams
Requirements
- 3-5 years of experience managing creative projects including video jobs, in an agency environment
- Passion for all things creative and a strong desire to learn and share best practices
- Skilled in managing multiple projects and shifting priorities with various project leads
- Pro-active problem solver with the ability to develop strong relationships with internal team members at all levels
- Excellent verbal and written communication skills
- Excellent organizational and time management skills; detail-oriented
- MS Office experience – project management software a plus
